Letter From the Division Director
Dear Flint Hill Lower School Families,
It is my honor and a pleasure to welcome you to the 2023-2024 school year! I hope you all have had a relaxing and fun summer break. I am thrilled to serve as the director of the Lower School of this amazing learning community and to support the students of Flint Hill! My family and I are settling in from New York and enjoying getting to know the area. My husband, Andrew, and I are happy that our four children - Drew (14), Jason (11), Hudson (8), and Madison (5) - are eager to begin their journey as Upper and Lower School students at Flint Hill. We are all looking forward to getting to know the Flint Hill community even better as the school year begins.
I would like to welcome all of our new families, whether you are joining us from another school in the area or have relocated from another state or country. We are excited to share all that Flint Hill has to offer with you and believe you will soon feel as we do, that Flint Hill School is a special place for all children. Our teachers, support staff, and families are ready to welcome you.
I am looking forward to working with you in the year ahead and seeing more about what makes Flint Hill such a special place. My door is open, and our team welcomes your input. Back-to-School
Preparing for the 2023-24 School Year
Many answers to your back-to-school questions can be found on the Preparing for the 2023-24 School Year tile on the Resource Board of Husky Hub.
To access the Resource Board, visit www.flinthill.org/app, and log in with your username and password. Once logged in, click Resources on the top navigation bar, and then click on the Preparing for the 2023-24 School Year tile. The tile will remain accessible through the start of the new school year. We recommend bookmarking it!
Class Placements for the 2023-24 School Year - Thursday, August 10
Specific class assignments will be available tomorrow morning, Thursday, August 10. We have a very thorough and thoughtful process for class placements for our students. Many factors are considered, including the child's academic, emotional, and social needs, the student's learning style, and the different teachers' teaching styles. Every effort is made to ensure that each student is in a learning environment in which they can flourish.
To access your child's class placement, log in to Husky Hub, click "Children" and select your child's name. From the "Progress" page, scroll down to view your child's classes and teachers. Click on the homeroom course to view a printable copy of the class schedule. If you have any questions, please contact Assistant to the Director and the Assistant Director of the Lower School Donna Holaday at 703.584.2360.
Bus Service Sign-up - Deadline Extended to Friday, August 11
Details regarding morning, afternoon, and evening bus service can be found here. A complete list of all morning, afternoon, and evening bus routes can be found here. We've extended our registration window; please complete the Bus Service Registration Form by this Friday, August 11.
AfterCare Sign-up - Deadline Extended to Friday, August 11
The AfterCare program is designed to support students through the power of play and enrichment opportunities and is available daily, 3:00-5:30 p.m. Click here to sign up. Textbooks and Supplies
Textbooks and workbooks for the 2023-24 school year are available for purchase via our eCampus textbook store. Please reference your child's schedule on Husky Hub when you order textbooks. Lower School students can purchase access to math and language arts resources through the online eCampus textbook store. If you have any questions, please contact Julie Young.
Dress Guidelines
To ensure that your child is prepared for the start of the year, please review the Dress Guidelines in Husky Hub on the Resource Board - in the "Preparing for the 2023-24 School Year" tile, look for the link titled "Dress Guidelines."
Health Forms - New and Returning Students
Completed health forms must be uploaded to the Magnus Health system and approved by the first day of classes, or your child may not attend school. If you have any questions regarding the health forms, please contact Director of Health Services Mary Hart at 571.926.2818.
SchoolPass Steps To Complete Before School Starts
Flint Hill School uses SchoolPass, a user-friendly and real-time system that allows parents to easily notify the school of student absences, late arrivals or appointments; helps students and teachers with daily attendance; and assists the school with efficient and secure dismissal to direct students to Lower School carpool, buses, and AfterCare.
Returning Families
The only step you need to complete at this time is to review your approved driver's list and update or delete it if needed. Instructions for "Adding, Updating, and Deleting Approved Driver and Car Procedures" for the SchoolPass app are on the Preparing for the 2023-24 School Year tile on the Resource Board in Husky Hub.
New Families
On July 18, you should have received an auto-generated "welcome" email from noreply-2300@schoolpass.com with instructions to download the application and create a profile. If you did not receive that email or need SchoolPass assistance in general, please email helpdesk@flinthill.org.
You will receive your car tags during your Hopes and Dreams Conference. During carpool, your tag will be scanned and confirmed by a staff member. This automatically notifies classroom teachers that you are in the carpool line, so they can send your child to the pickup area.
Subscribe to Flint Hill School Calendars
In an attempt to better serve parents, we have updated our school calendar display by splitting calendar events into divisions. There are now six different calendars parents can subscribe to. There is a description of each calendar below along with instructions for how to subscribe. We recommend that parents subscribe to your division's calendar as well as:
- Parent Highlights Calendar: includes major school dates like start and end dates, breaks, and school holidays.
- All-School Events: includes events designed for the entire community including some major athletic, fine arts events, Parents' Association, and (Institutional Equity & Inclusion) IEI events.
Middle School (MS) and Upper School (US) parents may also want to subscribe to the MS/US Letter Days calendar which helps your family keep track of which letter day it is.

If you're a Google calendar user, you can subscribe to each calendar so that they populate on your personal Google calendar by clicking the links below.

Announcements
Fall Uniform Exchange - Wednesday, August 23
The Parents' Association is proud to sponsor the Fall Uniform Exchange on Wednesday, August 23, from 9:00 a.m. to 2:00 p.m., in Room 101 of the Hazel Lower School building. There is no cost for this event, and you do not have to donate in order to participate. Item availability is based on donations and will be first-come, first-served.
The School Store will also be open during the Exchange, so you can pick up new spirit wear items at the same time! The School Store is located in Room 112 in the Hazel Lower School.
Uniform and Spirit Wear Donation Drop-off
Monday, August 7 - Friday, August 11, 8:30 a.m. - 3:00 p.m.
If you have gently used, clean uniforms, spirit wear, or P.E./athletic wear to donate, please drop them off on the Miller House front porch from Monday, August 7, through Friday, August 11, between 8:30 a.m. and 3:00 p.m.
Parent Volunteer Opportunities
Parent volunteers are needed. Sign up to volunteer! Please contact Melissa Riley in the Advancement Office with questions about the Uniform Exchange or Marina Matthes with questions about the School Store.
Medication Drop-Off - August 24
For students who will need to keep medication on campus during the school year, we will have a medication drop-off day on Thursday, August 24, 10:00 a.m. - 2:00 p.m. at the Upper School Circle.
Families will pull into the circle, and a nurse will come to your car to collect the medication and the appropriate forms. As a reminder, all prescription medication must be accompanied by the physician's order on the Medication Authorization Form, which must be completed and signed by the prescribing physician.
All medication must have the pharmacy label on it. All over-the-counter medication must be accompanied by the Medication Authorization Form and must be completed and signed by a parent or guardian. The medication must be in the original packaging and must be administered according to the package instructions, including the time and route to be administered.
If you are unable to come to the School on the medication drop-off day, please call to schedule an appointment with your division's nurse prior to the start of school.

Parent-Teacher Hopes and Dreams Conferences - August 28-29
Using the Responsive Classroom and Developmental Design approaches, homeroom teachers and advisors build their classroom communities with intention and care, so that each child feels safe, respected, and that they belong. To gain a better understanding of each child and facilitate a strong partnership with parents for the school year ahead, homeroom teachers and advisors will host a 20-minute in-person Hopes and Dreams Conference for parents on Monday, August 28, and Tuesday, August 29. These conferences give parents the opportunity to share their hopes, dreams, and goals for their child for the new year. Parents are also encouraged to share any other information that would be helpful for the teacher to know about their child.
Parents will be emailed instructions to sign up for the in-person conferences, using our online scheduling system, beginning Monday, August 14. You will also find the sign-up link on the Husky Hub Resource Board. If you have any questions or need help with the online scheduling system, please email Donna Holaday or call her at 703.584.2360.
Lower School New Parent Orientation - Wednesday, August 30
To help new parents, as we prepare for the school year, Director of the Lower School Madeleine Lopez and Assistant Director of the Lower School Megan Dhar will host a meeting on Wednesday, August 30, at 8:15-9:15 a.m. in the Olson Theater. Returning parents are also welcome to attend.
Head of School Coffee for New Lower School Families - Wednesday, September 6
New Lower School parents are invited to this informal coffee hosted by Head of School Patrick McHonett on Wednesday, September 6, at 8:30-9:30 a.m. in the Olson Theater. He'll be joined by Lower School Director Madeleine Lopez and Assistant Head of School for Institutional Advancement Meredith VanDuyne. They'll share helpful information for new parents about ways to partner and get involved with Flint Hill.

New Hires
We are delighted to welcome new Lower School faculty/staff and members of the Senior Leadership Team to the Flint Hill family.
Shawn Arrington - Director of Information Technology
Shawn has worked in independent schools for over 25 years in North Carolina, Alabama, Mississippi, and Tennessee. Most recently, Shawn worked at the Baylor School in Chattanooga, Tennessee, for 14 years, serving as chief information officer, teacher, advisor, and coach. He has a B.S. in physics and mathematics from Longwood University and an M.S. in electrical engineering from the University of Alabama - Birmingham. Fun fact: Shawn enjoys binge-watching TV shows with his wife and two young adult children.
Olivia Bartley - Lower School Learning Specialist
Olivia has worked in education for over five years in Montessori, nonprofit, and private organizations. She is a former Peace Corps education volunteer in Togo (West Africa). She has a B.A. in international studies from George Mason University, and she is pursuing an M.S. in educational psychology from Purdue University Global. Fun facts: Olivia has studied abroad in Ecuador and the Philippines. She loves to bake and cheer for the Steelers on Sundays! This summer, she took a road trip to Colorado and Montana with family.
Alexis Bennett - Kindergarten Assistant
Before her two years of substituting at Flint Hill, Alexis was a co-teacher at the private school Montclair Community Pre-K. She has an A.A. in social science. Fun fact: Alexis has lived in four different states within the United States and has taken a road trip across the country.
Nicole Carey - Lower School Counselor
Nicole has worked in education for 15 years in different mental health support roles involving assessment, referral, coordination with educators, training, and direct support for public school administrations and private schools. She has a B.A. in child development from Mills College, an M.A. in developmental psychology from Columbia University, an M.Ed. in community counseling from Howard University, and a Psy.D. in clinical psychology from American School of Professional Psychology. Fun facts: Nicole has lived on both the east and west coast, loves to hike and see movies, and spends as much time as she can with her family.
Tracie Epes - Director of Counseling
Tracie has worked with children and adolescents for over 25 years in public and private schools, therapeutic settings, and community agencies. Prior to joining Flint Hill, she worked at The Madeira School for 15 years as the director of counseling. She has a B.A. in psychology from the University of North Carolina - Chapel Hill and an M.S. and Ed.S. in counseling from the University of North Carolina - Greensboro. Fun facts: Tracie enjoys baking cupcakes and creating different flavors and designs. She loves playing and watching soccer, walking in the woods with her dog, Phoebe, and spending time with family and friends.
Jason Klem - Assistant Director of College Counseling
Jason has worked in college admissions for six years. He represented Trinity College in Hartford, Connecticut, for five years and spent two years as a Washington D.C.-area regional coordinator, developing a solid understanding of the high schools in the region. He has a B.S. in applied psychology from Ithaca College. Fun facts: Jason loves to explore new areas by walking, hiking, and running. He has completed multiple marathons.
Madeleine Lopez - Director of the Lower School
Madeleine has taught several elementary grade levels and held numerous academic leadership positions for 20 years, both in public and private schools. She has a B.S. in foreign service from Georgetown University, an M.A.T. in Elementary Education from Manhattanville College, and an M.Ed. in private school leadership from Columbia University. Fun fact: Madeleine is an only child but now has a large family and loves to spend time with them.
Aaron Proctor - Director of Academics
Proctor (he goes by his last name) served as a teacher - mostly in psychology and mathematics - and administrator for over 20 years at various schools. He has a B.S. in economics from Carnegie Mellon University and an M.S. in psychology from Capella University. Fun facts: He prefers to be called Proctor as his first name and he loves rugby.
Michele Scadron - Kindergarten Assistant
Michele taught students in grades K-2 at Waples Mill Elementary in Fairfax County Public Schools for over 30 years. She has a B.A. in Elementary Education (K-4) from George Mason University and an M. Ed. from George Mason University's Institute for Educational Transformation. Fun facts: Michele enjoys spending time with family. She is passionate about caring for monarch butterflies and their habitats.
Maxwell Simpson - Enrollment Systems Manager
Maxwell has worked in higher education settings for about eight years, including recruitment and operational positions. He has a B.S. in communications from Old Dominion University and an M.S. in cybersecurity from Marymount University. Fun facts: Maxwell is a triplet and loves to play competitive pickleball.

Dear Flint Hill Families,
There is still plenty of summer left to enjoy, but the 2023-2024 school year is right around the corner! Whether this is your first year or your last as a Husky parent, we are glad you are a part of our community. I am looking forward to a fantastic year ahead and connecting with parents on campus.
- About me: Our family joined Flint Hill in 2020, and we've been active in the community ever since. Jennifer and I have three kids: Eamon '27, Emmie '30, and Morgan '30 (yes, twins!). One of the things we love about Flint Hill is the community, and I've enjoyed serving as an Annual Fund volunteer, a divisional ambassador, and hosting several parent gatherings over the years. There are many events that have provided great memories, but I'm not sure anything beats Homecoming for camaraderie, fun, and the Husky spirit! Mark your calendars for Homecoming weekend, September 29-30.
- About the Parents' Association: Every Flint Hill parent and/or guardian is automatically a member of the Parents' Association, and there are no membership fees. The Parents' Association strengthens the partnership between the School and Flint Hill families by encouraging parental involvement and engagement within our community. The Parents' Association Divisional Ambassadors is a group of nearly 80 volunteers that build community among parents and guardians. They are here to help you connect and are actively involved by attending school events, hosting parent socials, volunteering and encouraging you to do the same. Meet the 23-24 Divisional Ambassadors!
- What's to come: There are many Parents' Association events planned for this year in addition to volunteer opportunities, and the newsletter is the best resource to see what's on the horizon. If you'd like to get involved, complete this form to share your volunteer interest, and we'll reach out to you as each opportunity arises.
I am eager to partner with parents as we pull the sled together. I hope you and your family soak up the last few weeks of summer, and I look forward to seeing you soon!
